Accessibility
The Business Design Centre is fully wheelchair accessible to the public with a ramp at the front of the building and lifts throughout. There will be a professional sign language interpreter and large print formats available for any visitors who require this. If you have any specific access requirements, please notify the Events Team in advance on 020 7863 6050 or email fairs@careers.lon.ac.uk

Car Parks
There is a payable car park adjacent to the Business Design Centre with approximately 200 spaces. There is a 1.9m height restriction. There are also several other car parks within walking distance, including in the N1 Shopping Centre.

Catering
Lunch tickets and refreshments on fair day are provided as part of your stand package. If you have any specific food allergies, please let us know in advance on 020 7863 6050.

Tea, coffee and biscuits are served all day on Wednesday in the Auditorium for exhibitors to help themselves. Snacks are also available to buy in the Business Design Centre. Bottled water will be provided and will be delivered directly to your stand with plastic cups.
Lunch is served in the Auditorium on Wednesday and is allocated to exhibitors in specific time slots.

• 6 square metre stands = 2 lunch tickets
• 8/9 square metre stands = 3 lunch tickets
• 10+ square metre stands = 4 lunch tickets


Additional lunch tickets are available to buy at a cost of £21.75 + VAT each. These MUST be ordered in advance using the Stand Details Form. Please note: All additional lunch tickets ordered will be invoiced after the event — no refunds will be given for unused tickets. Please ensure you have enough staff on your stand to cover your stand during the lunch period.

Under the terms of the tenancy of the Business Design Centre, The Good Eating Company are the venue’s nominated caterer and have sole rights on the provision of food and drink in the building. This includes complimentary or branded refreshments and snacks.


Decorations

HELIUM BALLOONS - A deposit of £100 is required for anyone intending to have helium balloons on their stand. They will require written permission from the Project Manager at the Business Design Centre (Hayley Constable). This is fully refundable after the event providing the balloons have not escaped!
FLORAL DECORATIONS - If you have floral requirements, we recommend F For Flowers who will be delighted to take your order and deliver straight to your stand. Visit

Deliveries and collections
Please make the appropriate arrangements to have your items delivered on 19 January ONLY. Packages should be clearly labelled with:

• Your company name
• Your stand number
• The total number of boxes e.g. 1 of 6
• A contact name, if possible
• The following address:

Couriers delivering items will be asked to take deliveries directly to the relevant stand. Our team of porters will be available to assist couriers and sign for deliveries.

The door sizes leading from the vehicle access are 2m wide x 1.9m high approximately.  The Goods lift is 3800mm long x 1900mm wide x 1900mm high and has a capacity of 3,000kg.
The Business Design Centre can be accessed from Liverpool Road. Please ensure you direct your couriers to the Loading Bay and supply them with delivery passes. Deliveries cannot be accepted at the main entrance or reception. High visibility jackets must now be worn by anyone entering or working in the Loading Bay. Our team of porters will have a supply of hi-vis vests.

All items must be collected from your stand between 6pm-9pm on 20 January. You will receive labels ‘For Collection by Courier’ to mark any boxes which are being collected after you leave the venue.

A team of porters will be available throughout build up and breakdown to help you carry items from the loading bay to your stand. They are easily identifiable in magenta The Careers Group t-shirts. We ask you to be patient during busy times as there are only a limited number of porters and trolleys.
Your stand staff can gain access to the venue on Tuesday 19 and Wednesday 20 January through the main entrance to the Business Design Centre; you do not need ID or badges, simply explain to Front of House that you are exhibiting at the event. Your Fair Liaison Officer will provide you with name badges on Wednesday before the fair opens.

Fair Guide

As part of your stand package you are entitled to an Online Fair Guide profile. Sarah, Events Officer at The Careers Group, University of London will be in touch with details of this. If you have any questions please contact Sarah on 020 7863 6055 or

On the day visitors will also receive a flyer containing the exhibitor list, presentation programme and floorplan to help them navigate the fair. 

Fair Liaison Officers
All exhibitors will have a dedicated Fair Liaison Officer throughout the event who will make sure you have everything you require. Upon arrival you will be issued with your name badges and lunch tickets along with other important information about the Fair. If you have any questions or requests during the Fair please ask your Fair Liaison Officer, or come to the Organisers’ Office.


Furniture

Exhibitors receive a furniture package consisting of trestle table, four chairs, lockable cabinet and bin – you will need to bring your own tablecloth.  Additional furniture items can be hired through Camden Exhibition Services. For more information see

Health and Safety
The organisers and the Business Design Centre take Health and Safety very seriously. Before the event takes place you will be sent Health & Safety forms by Hayley Constable, Project Manager at the Business Design Centre. All exhibitors must complete and return these forms to indicate they are aware of procedure and comply with regulations. If you have any queries please contact Hayley Constable on 020 7288 6472. Hotels
There are several hotels in Islington, including the Hilton directly adjacent to the Business Design Centre and Jury’s Inn London City Hotel on Pentonville Road. There are also Premier Inn, Travelodge, Novotel and Thistle Hotels in Kings Cross and Euston.


Insurance
Whilst The Careers Group, University of London and The Business Design Centre take every precaution to protect your property during the event we are not responsible for any loss or damage, and we recommend that you take up the insurance cover offered by Event Assured who are specialists for this type of insurance. 
You are also responsible for insuring against any legal liability incurred in respect of injury or damage to property belonging to third parties.  In addition to this you should protect your expenditure against Abandonment and Cancellation or curtailment of the event due to reasons beyond our control.
All these risks and more can be covered by Event Assured under their Exhibitions Policy.


Internet access
Internet access is not provided as part of your stand package and must be ordered and paid for separately. If you would like to order a wired or wireless internet connection for your stand, please contact The Events Team for an order form.


Music

Due to the disturbance that playing music can cause to other exhibitors we would appreciate if people would refrain from playing music on their stands during the event.


Opening and Closing Times

The event opens to visitors on Wednesday 20 January at 1pm. Please allocate sufficient time to be ready by 12.30pm on this day for the organisers to conduct a Risk Assessment before the fair opens. Trolleys may not be used to deliver items to stands after 12.30pm. The fair closes on Wednesday 20 January at 6pm.


You can set up on Tuesday 19 January from 9am to 5pm and on Wednesday 20 January from 8.30am to 12.30pm. We strongly advise you to come to the Business Design Centre on 19 January to ensure your stand is set up as you anticipated. We may not be able to rectify any mistakes that are not identified until the morning of 20 January.

You do not need a pass or exhibitor badge to gain entry on Tuesday 19 or Wednesday 20 January at the front entrance of the Business Design Centre. During build up on Wednesday morning your Fair Liaison Officer will give you blank exhibitor badges for you to fill in your name and organisation. If you are arranging deliveries, these should be taken to the Loading Bay entrance on Liverpool Road. See Deliveries and collections for more details.

Photography
Exhibitors are permitted to take photographs or film footage of their stands. The Organisers may also take photographs or video during the Fair for publicity purposes. If you do not wish your stand to be photographed please notify the Events Team in advance, or on the day.


Posters

Posters should be affixed using Blu-tac or Velcro ONLY (no sellotape, sticky fixers or pins). These are available from the Organisers’ Office at no cost. Please do not affix heavy items to your stand. Chain packs are available to order, as well as Velcro and shelving. 


Power
As part of your stand package you will receive one 500W power socket and one fluorescent light strip.

Please note that you will receive a standard electrics fitting unless otherwise stated; this varies from stand to stand, but tends to consist of the power socket in one of the bottom corners of the stand and the light strip across the front beam of the stand.  If you wish to have a custom fitting, please contact the Events Team on fairs@careers.lon.ac.uk or 020 7863 6050.

While you are permitted to use an extension cord on the power socket (of no more than 2m in length), you are reminded to ensure that the overall power usage does not exceed 500w. If you would like to order any electrical items in addition to the power socket and light strip that are provided in your package please contact the Events Team on fairs@careers.lon.ac.uk or 020 7863 6050.

Electrical items such as additional power sockets can be ordered during build-up on 19 January at the Service Desk (located in front of the Organisers’ Office) but there is no guarantee that the technicians will be able to supply or install your order in time before the show opens, and an extra charge will apply. It is therefore best to order any additional items in advance, as explained above.

The mains supply will be turned on no later than half an hour before the start of the event, and turned off half an hour after all visitors have left the building. We advise that all electrical wiring and equipment not supplied by the Business Design Centre or Computec (recommended event supplier – see Audio Visual for more information) is tested to ensure conformity with The Electrical Work Regulations 1989. Any items that fail such a test will not be connected to the main supply.

Presentations
Exhibitors have the opportunity to conduct a presentation for visitors. You will be notified of the specific details of this separately. Please note that laptops will not be provided for presentations, but data projectors and presentation screens are provided. Presentation spaces are limited and allocated on a first come, first served basis.

Security
The Business Design Centre is patrolled by security guards 24 hours a day. Whilst every reasonable precaution will be taken to ensure the safety and security of stands, the organisers cannot be held responsible for any loss or damage that may occur.
Please do not leave valuables on your stand unattended – use the cloakroom in the foyer or the lockable cabinet on your stand, and for more valuable items such as laptops ask for them to be stored in the Organisers’ Office, which is always either manned or locked.


Shell Scheme
Shell scheme stands are constructed out of Octanorm panels and have an open grid ceiling of 70mm beams fixed diagonally over the stand.
Dimensions:
From the floor to the underside of the ceiling – 2.43m
From the floor to the underside of the name panel – 2.33m
Face size of the panels – 2.34m high x 0.95m wide.
Size of panels when fitted with poles & beams – 2.5m high x 0.99m wide
Please note: the majority of exhibitors will require the full shell scheme stand package. There is no discount available for choosing a space only option. If you are unsure of your requirements, please call a member of the Events Team to discuss your options fully.

Storage

The Porters Room (Room 118) can be used to store large pieces of stand materials such as stand containers etc during the fair. Space is very limited and will be allocated on a first-come-first-served basis. Other material can be left on your stand once you have set up, either in the lockable cabinet or set up ready for the fair. The venue is patrolled by security 24 hours a day, however valuable items such as laptops should be stored in the Organisers' Office rather than left unattended. If you have any concerns, please speak to the Events Team in advance on 020 7863 6050 or in the Organisers' Office onsite. There is no overnight storage after the event.
